Reflection on Meeting 1

Date: 11th February                                               Location: PGP Meeting room 5b                                              Time: 12 p.m.

I have to credit my teammates on punctuality and preparedness for the meeting. The quick meeting we had with our tutor on the day preceding our meeting benefited us a lot. We also had concretely drafted the agenda for the meeting and we did follow it closely over the meeting.


In the period of the meeting, there were issues that incited active debating. Though that prolonged our meeting minutes and resulted in carried-forward individual work, we attribute it to effective communication skills exhibited by each member of our group where none of us held back on our opinions or ideas.

In the course of the meeting we reached a deadlock while trying to finalize the UI and the API design. We realized that none of us were clear on what was expected of us in regard to the designing and therefore we could not proceed. Hereafter, as they say two heads are better than one in face of a crisis, we discovered that through sharing our doubts and putting our heads together to expel those doubts, we got a clear picture at last of what our task is in order to obtain the design. Though this brainstorming part spilled over to the time of the meeting allocated for other matters, we were content that we managed to clarify the uncertainties surrounding the API design.

Plenty of times, we faced difficulty explaining our ideas precisely to our group-mates. We were either unable to link with the issue at hand or not substantiate the reason behind our proposed notion well-enough. But gradually we overcame these inhibitions as we grew familiar with each other’s thought process and got over camera-consciousness.

Regarding the role that I played in the meeting, I feel I satisfactorily carried out my job as the team leader. Throughout the meeting I was able to hold the team’s attention to the topic of discussion. Everyone was given a chance to get his point across and each view/aspect was debated upon. It was made sure that no one digressed from the topic.

Reflecting over this meeting, we came to realize the significance of clarity and coherence in presenting our thoughts and reasoning our ideas to an audience.

Hi Saurabh,

It’s great to hear that your meeting went perfectly well.

The preparatory work that you did surely helped all of you facilitate an efficient and effective form of discussion. Our group also met beforehand to discuss about the agenda of the meeting and to settle the technical aspects of it (video recording, venue, etc.)

I believe that the most important factor of your meeting that allowed you to have a good discussion is the theoretical knowledge available at hand and the good level of understanding of the project. This allows quick comprehension among the discussing parties and quick exchange of ideas.

Brainstorming is also an important aspect of problem solving. It is not only a simple exchange of ideas, but also an intense pooling of ideas. Through this, we are able to overcome the boundaries of limited thinking and expand our creativity in approaching a problem to come up with innovative and elegant solutions. As for your team, brainstorming could have been limited during your first meeting, but I guess your virtual meetings facilitated this aspect.

I’m pretty sure that you did a great job as the leader of your team. Kudos and good wishes with your lab 3!

A job well done, I must say! From the preparatory work to the actual meeting itself, it seems that your team managed to finish up whatever stuff your group set out to do.

Even though there are areas to be improved, don’t worry about it, as there is no such thing as a perfect meeting. A meeting may seem perfect to someone, but to others it may seem like a waste of time.

You mentioned in your post that the video wasn’t very presentable for third person viewing. You also suggested adding in introductions and thank you notes into the video itself. Actually, I think it’s a good idea. Small things like this will definitely make viewers enjoy the video more.

However, I also felt that the video as it is, is already sufficient enough to complete our objective for the task. (It’s not like I’ve seen your video, but I can sort of imagine what it’s like.) Adding things like introductions and thank you notes may make the video seem unnatural for some. The viewer might even think that the people inside the video are acting or something.

Therefore it is best, in some cases to leave it raw and natural.

Nevertheless, I think I might still go along with my first point of view, and use your idea of self introductions for our next video recorded meeting. (Can I?)
I am a self-contradicting man indeed....

Hi Saurabh,

Wish you a very Happy Chinese New Year. Hope you enjoyed the recess week.

It is nice to hear from you that your group actually had met on Tuesday before the actual meeting to discuss the agenda for the meeting. By doing so, it ensured that each one of your team gathered enough knowledge to approach and solve the problem. My team too followed the same approach and it proved to be handy during the meeting.

It is good to hear that your team members weren’t camera conscious but the first few minutes in my team meeting were weird and awkward as we didn’t know exactly how to start the meeting and the presence of the camera too made us conscious for some time but once we started the discussion and got into the depth of topic we no more thought of it.

As rightly pointed out, It could have been better if we had atleast mentioned that the meeting is on CG1102 project but nevertheless, let’s make sure we implement this from the next meeting .After reading your post, I personally feel that you have shown that you have all the capabilities of an effective team leader and I could clearly conclude that your meeting was a fruitful one with each member contributing to the best.

Hello Saurabh,

I have similar thoughts and reflections with yours. Being from the same group, I thought the quick meeting that we had on Tuesday worked wonders when it came to our actual meeting. By actually clearing up any doubts with the TA and writing down the agenda, we ensured that the actual meeting we had on Thursday ran smoothly.

Even though we were self-conscious when the camera first started rolling, we managed to get back into the groove and made the meeting work out well. I felt that each of us were given equal opportunities to voice out our thoughts and suggestions.

Well, I agree with Zhen Yong that we did not have to add introductions and a Thank You note since it would have made the video slightly unnatural. Well, maybe not. We will have to see in our following meeting.

Brainstorming is an essential part of our meeting. We should make it a part of our meetings more often. Also, I feel that we need to put down our thoughts on paper, just scribble anything out. It might help with the flow of thoughts.

I must commend you on being a good team leader! You helped us to stay on track and allowed each of us to bring our point across.

Anyway, good luck to us in our project!
